Several AI apps and a team
Give each person and AI app its own connection and permissions, see who did what, share rules in the site memory, and revoke access when someone leaves.
Each AI app gets its own connection with its own key or sign-in, permissions, expiry and activity log. That is how you give a writer, a developer and an owner different powers on one site, and always know who did what.
What you need#
- A paid plan sets how many AI connections the site can have: Solo 1, Team 3, Crew 10. The Free plan has 1, and it is read-only. Prices are per site, per month.
- Only active connections count. Revoke one or let it expire, and its place is free again.
- You, as a WordPress administrator, create and revoke connections in PowerWP AI › Connections.
Before you start#
- Decide who needs what. A suggestion:
| Who | Preset | What it allows |
|---|---|---|
| A consultant or analyst | Read-only diagnostics | Look at the site, change nothing |
| A writer or editor | Content manager | Content, products, orders and media |
| A developer | Developer | Also settings, files, database, plugins and backups |
| The owner | Developer, or Full access for one task | Full access adds users and secrets. Use it sparingly. |
- Existing connections are never revoked because of the plan. With more connections than the plan includes, the oldest ones can make changes and the newer ones can only read. If a paid plan ends, the site goes back to the Free plan 3 days after the end date: the connections can still read the site, but can't change anything until you subscribe again.
- One person using two apps has two connections, and one app on two computers has two connections with a key. An app that signs in, such as Claude, is one connection that works on every device it is signed in on.
Steps#
- Create one connection per person and app. Open PowerWP AI › Connections and choose Create connection. Pick the AI app and name the connection after the person and the computer, for example "Claude Code, Ana's laptop". The log shows this name.
- Choose the preset for the role. Under More options, set an expiry (90 days by default; shorter for contractors) and, if you like, lock the key to that person's IP addresses.
- The key is shown once. Each person pastes their own setup message into their own app. See Choose how to connect.
- Put the shared rules in the site memory once. Rules, facts about your business and notes reach every AI app with its connection, on every computer.
- Example prompt
Set up the site memory. Ask me the questions and save what I answer.
- Your AI app will use
memory_listandmemory_save. Entries are proposals until you approve them in PowerWP AI › Memory. Leave Settings › Memory & recipes › Save proposals without my approval off on a team: a saved rule reaches every app that connects.
- Look at what each app did. The Changes screen lists work sessions with the connection that made them. The Activity screen lists every request and tool call: who, when, from which address, and the result.
- Example prompt
Show me what the connections on this site did in the last 7 days, grouped by connection. Only list changes and errors.
- Your AI app will use
audit_logandchanges_list.
- Turn on alerts. Under Settings › Alerts, enter an e-mail address and choose the events: a new connection is created, a key is used from a new address, a change is rolled back, a restore starts, or an address is locked out.
- When someone leaves, revoke their connection. Choose Revoke next to it under Connections. It stops working at once, and for an app that signed in, every one of its tokens ends together. Then remove or change the person's WordPress account too.
Who did what#
- Work sessions. On PowerWP AI › Changes, a work session is a run of changes by one connection with gaps of less than 30 minutes between them. It shows which app made it, so two people working in the same hour do not mix.
- Checkpoints belong to a connection. Rolling back to a checkpoint undoes what that connection changed afterwards. The work of your teammates is left alone.
- Two people, one item. If an item was changed again after a change, its rollback stops with a conflict instead of overwriting the later work. Look at it with
change_detailsbefore you force it. - The activity log keeps entries for 60 days by default, with a short preview of each result (Settings › Activity log).
Signing in instead of copying a key#
Since PowerWP AI 1.6, apps that can sign in connect with just your site's address: the person signs in to WordPress, chooses what the app may do, and clicks Allow. Only administrators can approve. The connection lists as Signed in under Connections, follows the same plan limits, permissions and change log, and ends at once when you revoke it. Settings › Connection security › Sign-in for AI apps switches sign-in on and off. Switched off, it pauses every app that signed in, while connections with a key keep working.
Check the result#
- Connections shows how many places are in use, for example "2 of 3 AI connections".
- Each person's work shows up under their own connection in Changes and Activity.
- A revoked connection fails at its next request.
How to undo#
- A permission set too wide: choose Edit next to the connection and narrow it. Editing is recorded in the activity log.
- A connection revoked by mistake cannot be switched on again. Create a new one: the old key stays dead.
- A mistake by one app: roll back its change, its work session or its checkpoint in Changes (see Change log and undo).
- To pause every app at once, use the AI access switch, or turn on Read-only mode in Settings › General.
Recipes that do this#
setup_memory walks the owner through the setup questions for the site type and saves the answers, so every app and every person starts from the same facts. monthly_checkup is a good recurring task for the owner: it lists updates, security events, backups and errors in plain words.
